Executive Assistant to the Administrative Director & Clergy
Congregation Mishkan Tefila has an outstanding opportunity for an energetic and dedicated full-time Executive Assistant at our campus in Brookline. The ideal candidate is an enthusiastic self-starter who takes initiative, thinks strategically and independently, and is confident to interact with all levels of the congregation. We are looking for a hard-working candidate with a caring and friendly positive demeanor, a flexible, can-do attitude, and sense of professionalism. The position requires excellent communication, organizational, and computer skills. This full-time position is a combination of in-person and remote, will be an integral part of our team, and will have the opportunity for long-term growth. The Executive Assistant provides support to our clergy and Administrative Director in a wide range of activities, including working collaboratively with staff, congregational members, and the community.
Congregation Mishkan Tefila is the oldest Conservative synagogue in New England. Its growth parallels the remarkable development of the Boston Jewish Community, from a handful of immigrants to a vibrant and responsive component of American society. Through the years, Mishkan Tefila has played an integral role in promoting and strengthening Judaism serving as a cohesive force in the community-at-large.
RESPONSIBILITIES
Office Administration and Support to Administrative Director
• Provide excellent customer service while managing the front office including greeting visitors and answering phones
• Maintain comprehensive communications with the community by managing emails, website, synagogue calendar and social media
• Coordinate meetings dates for events and gatherings, maintain calendars as needed
• Support live events and manage Zoom/livestreaming.
• Work with campus partners regarding facility use/room set-ups and internal communication
• Assist with marketing and communications efforts
• Maintain records and tracking spreadsheets
• Other duties as requested
Clergy Support
• Directly assist and maximize the effectiveness of the clergy in all administrative tasks including answering the phone, managing calendars and schedules, maintaining files, assisting with event coordination and logistics, and communication
• Ensure the effectiveness of all aspects of the clergy’s interactions and communications with constituent groups, leadership, staff, professional colleagues and community representatives by triaging incoming calls, emails, and requests to clergy, and scheduling appointments, pastoral visits, classes, calls and managing follow-ups
• Support clergy by managing projects, attending meetings, following up on project tasks, to-do's, and time-sensitive action items
• Other duties as requested
QUALIFICATIONS AND SKILLS
• 3-5 years relevant office experience
• Exemplary written and verbal skills
• Keen attention to detail and excellent project management skills
• Able to multi-task & prioritize in a fast-paced environment
• Dependable with a well-developed work ethic and ability to self-motivate
• Enjoys being a team member and works well independently
• Customer service oriented
• Experience with schedule management, Microsoft Office, Google Suite, Zoom, and database management
• Professional, diplomatic, and discreet with confidential matters
• Willingness to learn and model community’s Jewish Values
Knowledge of synagogue life, Judaism, Jewish holiday cycle and ShulCloud will be helpful in this role. Generous benefit package, salary commensurate with experience.
